A conversion is useful only if it produces the result you need. Start with what the recipient must be able to do: read a finished document, edit its text, work with its numbers, or view its images. These practical routes help you choose the right Reportix tools and check the result.
Smart Reports: turn observations into a readable record
Use Smart Reports when you need to assemble project information, written observations and supporting photos into a report. The current library provides a Customized Report Generator with your own headings, photos and company information, AI text improvement, speech-to-text and PDF export. Named templates marked “Coming Soon” are not yet available workflows.
- Prepare the evidence. Gather the report date, project reference, locations, observations and relevant photos. Separate what you directly observed from what someone else told you.
- Structure the story. Open the customized generator and choose headings that answer the reader’s questions. For a site visit, try scope, observations, supporting photos and actions.
- Make actions specific. Record the issue, who should address it and the expected follow-up date. Review any AI-edited wording against the original observation.
- Review the exported PDF. Check photo captions, page breaks, names and dates before sending it.
Example: “Water near the entrance” is difficult to act on. “Water was visible beside the east entrance at 09:10; see photo 2; ask the maintenance team to inspect the source” gives the reader a location, evidence and a next step. Do not let an AI rewrite turn a possible cause into a confirmed fact.
Need attachments? Merge supporting PDFs after export, then organize the page order. These are separate tools, not an automatic reporting pipeline.
Invoice Creation: check the numbers before you send
The online invoice generator supports company and client details, manual line items or Excel/CSV import, currency selection, VAT and deductions, and PDF download or printing. It also provides Save and Load controls. Save your work before refreshing to start a new invoice.
- Identify the transaction. Fill in the supplier, customer, invoice number, issue date, payment terms and project or purchase-order reference.
- Build the item list. Enter quantities and unit prices, or use the tool’s Excel template. Check imported rows for duplicate items and numbers accidentally stored as text.
- Review adjustments. Select the intended calculation method before entering discounts, retention, previous claims or payments. Those settings affect the payable balance.
- Inspect every PDF page. Verify line descriptions, currency, totals and payment details. A long item list needs the same review on its final page as on its first.
Arithmetic check: three units at 120 plus two units at 75 give a subtotal of 510 before any adjustments. If your manual subtotal differs from the preview, check quantity, decimal placement and duplicate rows first. This example is an arithmetic exercise, not a tax-rate recommendation.
Use Amount to Words when accompanying documents require written amounts. A polished PDF, uploaded stamp or QR image does not by itself establish legal or electronic-invoicing compliance; check the requirements that apply to your transaction.
CodeKids: make practice an explainable learning task

- Choose a manageable starting point. Open the available learning area and begin with an activity the learner can describe in their own words.
- Predict before trying. Ask what the instructions should do and why. A prediction makes the result easier to discuss.
- Change one thing. If the outcome differs, identify the first unexpected step and try one adjustment instead of several at once.
- Explain the result. Ask the learner to describe what changed, what worked and what they would try next.
Practice idea: before a sequencing activity, ask a child to describe how to reach a door from a chair using ordered instructions. Swap two steps and discuss why order matters. This is a suggested adult-led exercise, not a claim about a particular CodeKids game. Use fictional names and example information; children should work with a responsible adult.
PDF and image workflows: avoid the common wrong turn
A smaller submission PDF
First delete unwanted pages, then combine the required documents and compress the final PDF. Compare the original and result at normal reading size. If small drawing labels or scanned text become difficult to read, keep a higher-quality version even if it is larger. Compression cannot promise a particular final size for every file.
Editable text or workable tables?
Choose PDF to Word for a text document you need to revise. Choose PDF to Excel for tabular data. After conversion, inspect headings, column boundaries, minus signs and decimal separators. A table that looks correct may still contain text-formatted numbers. A scanned page is an image; check the converter’s recognition capabilities before expecting editable text.
Photos for a project record
Use photo timestamps or text and logo overlays to label a copy, then combine images into a PDF. Put photos in the order discussed in the report. Keep the untouched originals: a date written onto an image is an annotation, not independent proof of when the photo was taken.
Before you export: reopen the saved file, not only its browser preview. Confirm page count, orientation and readability. Check that a PDF intended for editing has usable text, and that a spreadsheet contains the expected rows. Use a descriptive filename such as project-east-entrance-2026-09-26.pdf so the recipient can identify it without opening several files.
Plan a useful voiceover, video or branded photo
Each creator tool solves a different part of a content task. Start with a short brief: who will view it, what they should learn and where it will be shared. The following checks help you avoid having to rebuild the result after export.

A 130-word script is a useful starting estimate for roughly one minute of speech, but pacing and pauses change the actual duration.

Why does my converted spreadsheet need checking?
PDF pages store the appearance of a table rather than the same structure as a spreadsheet. Conversion can split headings, merge cells or interpret numeric values as text. Check row counts, totals and a sample of source values before using the sheet.
Can I use an uploaded stamp as proof that a document is approved?
An image of a stamp or signature is a visual element. It does not establish who approved a document or provide the verification associated with a certificate-based digital signature. Follow your organization’s approval process.
Do all Reportix tools keep files on my device?
No site-wide local-only assumption is appropriate. Some tools process in the browser; others may send files or submitted text to a server or service provider, including for AI processing. Read the tool instructions and Privacy Policy before submitting confidential material.
What should I include when reporting a tool problem?
